  1. Terms of contract
    1. AWC Terms & conditions apply once deposit has been paid. Paying a deposit is a verbal contract to complete the wedding cake booking, with or without written confirmation  
    2. Completion of this booking form is an agreement between Asian wedding cakes (AWC) and the client/s listed in the booking form
    3. AWC will confirm receiving booking form and confirm wedding cake. However if in the unlikely event AWC has not contacted you with confirmation it is the client’s responsibility to make sure AWC has received booking form. AWC is not held responsible for booking forms lost or delayed in the post
    4. AWC have the right to cancel a booking if they are unable to meet the criteria of the booking as a result of changes by the client / changes in circumstances or if the client communicates with AWC in an unacceptable manner. We expect clients to communicate with AWC in a pleasant manner. AWC will not tolerate any abuse from clients
  2. Payment  
    1. A non refundable deposit of £200 is required to confirm a booking, and the balance is payable 4 weeks before the wedding, it is clients responsibility to ensure payment reaches us on time
    2. Cheques which bounce or returned by the bank will incur a £35 admin fee and is payable before the date of delivery .
    3. Payments via debt card will not incur a charge , payments via Credit cards/ Amex will incur a 3% surcharge on total balance
  3. Cancellation
    1. Deposits are non refundable and cannot be returned under any circumstances.
    2. Cancellation charges are listed below, cancellation charges exclude any deposit which has been paid, cancellation charges are additional from deposit
    3. If wedding cake is cancelled, following costs will apply
      1. Time of booking till point ii.     – Admin fee of £125
      2. If 120 days prior to wedding     – 50% charge of total amount of wedding cake  
      3. If  60 days  prior to wedding     – 75% charge of total amount of wedding cake
      4. If  30 days  before the wed ding   – No refund
    4. If date is moved forward
      1. 80 days prior to wedding      – £75 admin fee
      2. 60 days prior to wedding      – 50% of total wedding cake price will be deducted
      3. 30 days before the wedding  – 75% of the total wedding cake price will be deducted
    5. All cancellations must be submitted in writing and any refund/s will be made by cheque
    6. If booking is taken less then 4 weeks before the wedding, the same rules will apply.
    7. Clients who choose to cancel their wedding cake and have not paid in full, they will be invoiced the relevant cancellation charge and will be required to pay the amount outstanding within 14 days, Charges which are not paid in 14 days, clients will be sent two letters requesting payment, each letter is invoiced at £35 each, if after two letters no payment is made, AWC will take court action to recover the amount outstanding, Clients will be required to pay all court costs.
  4. Stand Hire / return
    1. AWC require deposit for all wedding cake stands, amount of deposit required depends on stand type, All stands remain property of AWC
    2. Stands are due back within 3 days (by 6pm) from the date of the wedding. i.e if stand is left on a Sunday it is due back by Wednesday evening 6pm
    3. Deposit will not be returned under any circumstances if the stand is not returned within the three day period.
    4. It is clients responsibly to return stand to AWC within the time period We appreciate clients are busy during a wedding, however we need the stands for the following weeks weddings, if they are not returned we have to buy new ones – SO PLEASE ENSURE YOU RETURN THE STAND WITHIN THE THREE DAY PERIOD
    5. If after three days stand has not been returned, AWC will invoice clients for  the cost of a new stand less any deposit paid
    6. All items of stands are listed on the booking form. Clients must ensure they return all the property listed. If any parts of the stands are missing, clients will be invoiced.
    7. Lost or damaged stands – Full price of the stand is payable if stand is lost or damaged less deposit already paid.  If stands are lost or damaged clients need to inform AWC within in the three day period
    8. Full stand prices are as follows .Metal stands  2 tier £110, 3 tier £180,  4 tier £220, 5 tier £280 6 tier £350, Glass Stands 2 tier £180, 3 tier £275, 4 & 5 tier £350,  Acrylic Stands tier 1-3 £45 per stand,  (i.e 3 tier stand will be £135) Acrylic Stands tier 4-6 £55 per stand. Crystal stand tier 1-3 £120 per stand tier 4 -7 £160 per stand.    Fountain £149, Fountain stand £100, base stand type 1 £60, base stand type 2 £90, base stand type 3 (metal) £250- £400, Stairs, pillars and glass pots £45 each, glass plates £60- £75, Leafs £55, extension leads £15-£30, Satin £25
    9. If part of stands are lost, then the cost of the new part/s plus VAT and delivery are payable. AWC will inform clients the total cost for parts damaged  
    10. Damage of the stand is assessed on future usage, if structure of stand is damaged and it is beyond use then full price of new stand will be payable
    11. Charges are due within 14 days of invoice. Clients who do not clear balances outstanding from charges, a total of two letters will be sent for payment reminders and will be invoiced at £35 per letter admin fee. Balances still not cleared after two letters. Full costs till date plus court fees will be payable
    12. Clients who send stands back by post we advise you use a reputable courier company, clients are responsible for stands lost or damaged in the post.
    13. By completing the booking form clients agree to the stand hire terms and agree to any charges which are due.
    14. Deposit is returned by cheque on the day of return if possible or by post, Deposit can only be returned to person named on the booking form unless agreed otherwise in writing (email or letter). AWC will not return the deposit to third parties under any circumstances unless agreed otherwise. Please allow up to 28 days for deposit to be returned.  
    15. It is the client’s responsibility to contact AWC to arrange a time to return the stand. AWC cannot be held responsible if clients come to return stand and no member of staff is in our office. Charges will still be applied. Stands can only be returned at times which are advised to clients by AWC
  5. Delivery
    1. It is important client provide the correct delivery timing/ venue availability, as incorrect times will result in waiting charges being applied. If you have access to the venue from 6pm, it is pointless agreeing a delivery time of 5pm. Incorrect timings can result in high waiting charges. £75 per 15 minutes
    2. AWC will agree a delivery time with the client, Once arrived at the venue AWC will wait a maximum of 20 minutes for entry. After 20 minutes waiting charges of £75 per 15 minutes will be applied up to a maximum of 60 minutes. After 60 minutes AWC will leave the cake at the venue without set up.
    3. If clients have provided incorrect timings and our consultant has a subsequent wedding to get to, AWC will leave the cake without setting up and cannot be held responsible.
    4. A provisional delivery time is agreed on the booking form but these times are subject to change, however  If times are changed AWC will inform clients
    5. AWC will make every effort to deliver wedding cake on time but AWC cannot be held for delays out of their control such as delays caused by a  major accident / Heavy traffic
    6. It is the clients responsibility to liaise with venue, wedding planner or caterer to inform them AWC will be making a delivery of a wedding cake  and arrange with the venue/caterer a cake table and linen as agreed with AWC
    7. If AWC arrive at venue and there is no table or linen, AWC will wait 15 minutes for table and linen. If table or linen is still not available then AWC will do one of the following, a) If either are not available AWC will drop the wedding cake at the venue and .leave or  b) wait for table and linen and waiting charges will be applied at £75 per 15 minutes. If table is there but no linen, AWC will set the cake up without linen on the table and cannot be held responsible
    8. AWC will provisionally agree with clients where to place cake. If the venue or caterer decides to set up cake in alternative place AWC cannot be held responsible
    9. It is clients responsibility to arrange a suitable size  table as agreed with AWC- if client’s have not informed venue and venue do not provide a table AWC will drop the cake and leave and cannot be held responsible. If a suitable table is not provided AWC cannot be held responsible  if cake setup is different from what was agreed
    10. If an uneven table is provided by venue / caterer AWC cannot be held responsible for damage done to wedding cake. Clients will be responsible for damaged stands as a result of unsuitable tables as it is their responsibility to ensure venue/ caterer provides an adequate table   
    11. If the venue, caterer, wedding planer or any individual at the venue place any obstructions on AWC, speak to our staff in an inappropriate manner or insult our staff in any manner, AWC will leave the cake at the venue without set up and AWC cannot be held responsible.  
    12. AWC cannot be held responsible for any damage to the cake after setting up and leaving or damage by third parties at the venue
  6. Wedding cake
    1. AWC cannot be held responsible for wedding cakes effected by summer heat or temperature at venue
    2. AWC informs clients fresh cream wedding cakes are not suitable for display and butter cream is a better alternative. Clients take a fresh cream filling at their own risk.
    3. Wedding cake designs can vary from time to time, AWC will try to keep designs as similar as possible but cannot be held responsible if they do not match entirely
    4. AWC will try their best to match colour for ribbons, marzipan and fresh flowers, this may not be possible 100% of the time due to seasonal flowers, and it all depends on availability. AWC cannot be held responsible if colour does not match entirely
    5. From time to time some flowers may be unavailable.  If this occurs AWC will contact clients to inform them of alternatives. AWC cannot be held responsible if clients chosen colour or type of flower  is unavailable ( Flowers are seasonal and depends on what is available in the market)
    6. From time to time some decorations / cake stands are not available due to circumstances out of our control i.e supplier has run out of blue feathers or Cake stand chosen was lost by a client, AWC will use the best alternative available to them and no claim be made against AWC as this change is due to circumstances out of our control
    7. Clients are advised to consume the wedding cake on the day of delivery, AWC cannot be held responsible for the freshness of cakes after the wedding day, No claim can be made for freshness of cakes after the wedding day, if you have a problem with the wedding cake on the day of the your wedding,  we must be notified the following morning so your complaint can be investigated
    8. AWC may use floral wire or Cocktail sticks when placing flowers on wedding cake, Clients must inform caterer to remove all wire/cocktail sticks before serving the cake. AWC cannot be held responsible if clients do not remove wire/cocktail sticks before serving the cake.
    9. AWC will try their best to keep flowers fresh for the wedding cake, however they cannot be held responsible for freshness of the flowers throughout the day
    10. Once the wedding cake is set up, AWC advise clients not to move the cake/table under any circumstances. If any damaged is caused as a result of client, catering company or event planner moving the cake, AWC cannot be held responsible.
    11. AWC will ensure that your wedding cake is delivered as promised, In the event unlikely event of a complaint clients are advised to inform us within 24 hours after the wedding, No claims/complaints will be accepted after this period. If there is a problem it needs to be investigated, All complaints must be emailed within 24 hours AWC will respond as soon as possible.
    12. If you have a complaint with the wedding cake, The defective wedding cake MUST be returned, If the cake is not returned, no claim or complaint can be made
    13. If there is a error on the filling/sponge of the cake AWC can only compensate for the filling/sponge cost, the cost of the filling is very low (less then 10%)  and does not contribute a lot towards the cake, If the filling/sponge is incorrect, the compensation given will be no more then 10% of the total cost of the cake
  7. Table decorations
    1. All table decorations are provided free of charge, Petals, engraved hearts, glitter candles are not part of the wedding cake price,
    2. If AWC are unable to provide any table decorations no claim can be made as all table decorations are provided free of charge and do not contribute towards the cost of the cake
    3. AWC will provide clients with a complementary knife with the bride and grooms name engraved on it free of charge,
    4. If in the unforeseen circumstances there is a mistake on the engraved knife AWC will replace the knife however no claim can be made against AWC as the cake knife is provided free of charge
    5. Water fountain is also provided free of charge, clients must provide a 10-20 metre extension lead to connect fountain, or we can provide one at a charge of £25, If there is no extension lead provided or there is difficulty at the venue and the fountain cannot be set up, no claim can be made against AWC as it is provided free or charge.
